Code of Conduct & HQ House Rules

AI on the Lot brings together people from across film, media, and technology. We want every Event to be a place where everyone can take part safely and with respect. This Code of Conduct and the HQ House Rules form part of our Event Terms & Conditions, and capitalized terms have the meanings given there.
Code of Conduct
Who this applies to
Everyone at an Event: attendees, speakers, sponsors, Hosts, press, volunteers, staff, and guests. It applies at Event venues and at HQ, at related social events, and in our app, community channels, and online spaces.
What we expect
- Treat everyone with respect and courtesy, including people whose views or work you disagree with.
- Respect people’s wishes about being photographed or recorded, and respect marked no-photo areas.
- Follow instructions from our staff, security, venue personnel, and Hosts.
- Look out for each other, and tell a staff member if you see something wrong.
What is not allowed
- Harassment, intimidation, or discrimination of any kind, including based on race, ethnicity, national origin, religion, sex, gender identity or expression, sexual orientation, age, disability, appearance, or body size.
- Unwelcome physical contact or sexual attention, stalking, or following someone.
- Threats, violence, or weapons of any kind.
- Photographing, recording, or sharing images of someone who has asked you not to, or recording anywhere recording is not allowed.
- Sexualized or violent imagery in talks, demos, booths, or social posts, unless it is part of approved programming and clearly flagged in advance.
- Repeatedly disrupting talks, sessions, or other attendees.
- Spam or unsolicited mass outreach to attendees, including through the conference app.
- Being visibly intoxicated, or bringing or using illegal substances.
Reporting a concern
If you experience or see behavior that breaks this Code, tell any member of our staff or security on site, or email team@aionthelot.com. At a Hosted Event, you can also tell the Host. In an emergency, call 911 first.
We take every report seriously, handle it as discreetly as we can, and share details only with the people who need them to respond. We do not tolerate retaliation against anyone who makes a report in good faith.
What happens next
We decide the appropriate response. That can include a warning, removal from the Event or HQ without a refund, a ban from future Events, or a report to law enforcement.
HQ House Rules
These rules apply to everyone at AI on the Lot HQ in Culver City, including at Hosted Events. They are also posted on site.
- Access. The event space is on the second floor and reached by stairs only. If you need an accommodation, contact the Host or team@aionthelot.com before you arrive.
- Check-in. Check in on arrival. We may ask for photo ID that matches your registration. Members are responsible for their guests.
- Lounge and shared areas. No photos, filming, or audio or video recording, and do not share who you see there, unless we have given written permission.
- Capacity. Follow posted capacity limits. Staff may limit entry once a space is full.
- Alcohol. Served only to guests 21 and over with valid ID. Staff or the Host may refuse service at any time.
- No smoking or vaping anywhere inside HQ.
- Restricted areas. Stay out of areas marked private or staff only.
- The building. Follow the rules of the building HQ is in, and keep noise down in stairwells and entrances, especially when leaving.
- Leave it as you found it. Hosts are responsible for setup and cleanup of their Events.
- Your belongings. Keep them with you. We are not responsible for lost or damaged property.
- Emergencies. Know where the exits are, and follow staff instructions in an emergency.
