AI on the Lot LLC ("Organizer," "we," "our," or "us") produces AI on the Lot and related programming, activations, and satellite events in various locations (each, an "Event"). These Event Terms & Conditions ("Terms") govern your registration for, access to, and participation in any Event and constitute a binding agreement between the Organizer and you ("Attendee," "you," or "your"). By completing registration, you represent and warrant that you are authorized to accept these Terms.
By registering for any AI on the Lot event, you agree to these Terms in full. Please read them carefully before completing your registration.
1. REGISTRATION & ATTENDANCE
1.1 Eligibility & Registration Attendance at any Event requires completion of our registration process and payment of all applicable fees. Tickets and badges may be offered at varying price tiers and are subject to availability. Unless otherwise stated, all ticket sales are final, non-refundable, and non-transferable. You may not resell, auction, or otherwise transfer your registration or badge to a third party without prior written consent from the Organizer.
1.2 Badge Types & Access Levels Different badge types (e.g., General Admission, VIP, Speaker, Press, Student, Affiliate) grant access to different areas, sessions, and experiences within the Event. Your badge type determines your access level, and the Organizer reserves the right to modify programming, session availability, and access zones at any time.
1.3 Code of Conduct & Security AI on the Lot is committed to fostering an inclusive, respectful, and safe environment for all attendees, speakers, sponsors, volunteers, and staff. By attending, you agree to comply with the AI on the Lot Code of Conduct, which will be published on our website and communicated during the Event.
Upon entry, you may be subject to a security screening of your person and belongings and must present a valid government-issued photo ID matching your registration. We reserve the right to deny entry to, or remove from, the Event any individual who refuses to comply with security protocols, the Code of Conduct, or these Terms–without refund.
1.4 Venue Rules The Event may take place on a studio lot or other private property. You must comply with all venue-specific rules, restricted-area designations, and instructions from Event staff, security, or venue personnel at all times. Unauthorized access to restricted areas, stages, or production zones is strictly prohibited.
1.5 Referral Rebate Program Eligible attendees may participate in the AI on the Lot Referral Rebate Program, which is governed by the AI on the Lot Referral Rebate Program Terms & Conditions, incorporated herein by reference and available at aionthelot.com.
2. YOUR DATA & PRIVACY
2.1 How We Handle Your Information We collect and process your personal information in accordance with the AI on the Lot Privacy Policy, available on our website. We encourage you to review it before registering.
2.2 Badge Scanning Your badge will be scanned for entry and exit from the Event venue for access control and security purposes. Badge scans may also be required for entry into specific sessions, stages, or programming areas within the Event. Badge scans at sponsor booths, activations, or exhibitor areas are entirely optional and at your discretion.
2.3 Sponsor Data Sharing We may share your registration data with Event sponsors or partners only under the following circumstances:
(a) You affirmatively opted in to sponsor communications during registration; (b) You voluntarily provided your information to a sponsor, whether by permitting a badge scan, engaging through the Event app, responding to sponsor communications, or any other direct interaction; or (c) As otherwise described in our Privacy Policy.
2.4 Recordings, Photography & Media You acknowledge and agree that the Event may be recorded, livestreamed, filmed, and photographed. By attending, you grant the Organizer, its affiliates, contractors, media partners, and assigns an irrevocable, non-exclusive, perpetual, worldwide, royalty-free right and license to capture, use, reproduce, modify, distribute, and display your name, voice, image, likeness, and statements in any media or format, for any purpose related to the Organizer's mission, operations, and promotion of current and future Events.
We may edit, combine, or use such recordings alone or together with other content, and may sublicense these rights to partners and media outlets. To the maximum extent permitted by law, you waive any moral rights in such recordings.
Professional photography and videography will be present throughout the Event. Designated no-photo zones, if any, will be clearly marked on-site.
3. CANCELLATION & REFUNDS
3.1 Cancellation by You If you are unable to attend, refund eligibility is determined by the date your written cancellation request is received:
More than 7 days before the Event: A refund of your registration fee, less a $100 administrative cancellation fee, may be issued upon written request submitted to the contact information listed on our website.
7 days or fewer before the Event: All sales are final. No refunds will be issued for any reason.
3.2 Cancellation or Modification by the Organizer We reserve the right to cancel, postpone, relocate, or materially modify the Event at any time due to circumstances including, but not limited to: venue availability, speaker cancellations, security concerns, public health considerations, force majeure events, or any reason we determine in good faith to be necessary. We are not liable for any damages–direct or indirect–resulting from such changes.
If the Organizer cancels the Event entirely and you are in compliance with these Terms, we will issue a full refund of your registration fee. If the Event is modified but not cancelled, refunds are not guaranteed.
3.3 Survival If your registration is cancelled by either party, or the Event itself is cancelled, Sections 2, 3.3, 4, 5, 6, 7, 8, and 9 shall survive and remain in full force and effect.
4. FEES & TAXES
All registration fees are quoted exclusive of applicable taxes, duties, and governmental charges, including but not limited to sales tax, use tax, VAT, and excise taxes. Each party is responsible for paying all taxes imposed on it with respect to transactions under these Terms. You are solely responsible for any taxes applicable to your purchase of an Event ticket.
5. INTELLECTUAL PROPERTY & EVENT CONTENT
5.1 Forward-Looking Statements Presentations, demos, panels, and other programming at the Event may include information about product roadmaps, prototypes, research directions, or prospective features from the Organizer, speakers, or sponsors. All such information is provided for informational and educational purposes only and does not constitute a commitment, guarantee, or obligation to deliver any product, service, or feature. Development timelines, capabilities, and availability are subject to change without notice.
5.2 Ownership All Event branding, content, materials, and proprietary information presented at the Event remain the intellectual property of the Organizer or the respective rights holder. Unauthorized recording, reproduction, or distribution of Event content is prohibited unless expressly authorized in writing.
6. ASSUMPTION OF RISK
Your attendance and participation in the Event is entirely voluntary. You understand the nature of the Event, including that it may involve large crowds, outdoor and indoor environments, live demonstrations, interactive installations, food and beverage service, and other activities. To the maximum extent permitted by law, you assume all risks–known and unknown–associated with your attendance, travel to and from the Event, and participation in any Event activities.
7. RELEASE OF CLAIMS
To the maximum extent permitted by applicable law, you–on behalf of yourself, your heirs, dependents, personal representatives, assigns, and anyone who might assert a claim on your behalf–hereby release and forever discharge AI on the Lot LLC, its affiliates, and their respective directors, officers, employees, contractors, volunteers, agents, sponsors, venue operators, successors, and assigns from any and all claims, demands, causes of action, damages, losses, debts, liabilities, costs, and expenses (including reasonable attorneys' fees) that you may have now or in the future arising out of or in connection with the Event, the venue, or any recordings.
8. TRADE COMPLIANCE
By registering, you represent and warrant that you are not:
(a) Located in, organized under the laws of, or a resident of Cuba, Iran, North Korea, Syria, or the Crimea, Donetsk, or Luhansk regions; (b) Listed on any restricted or prohibited party list maintained by the United States, United Kingdom, European Union, United Nations, or any other applicable jurisdiction; or (c) Owned 50% or more, or controlled by, any person or entity described in (a) or (b) above.
You agree to comply with all applicable trade control laws, including sanctions and export control regulations.
9. LIMITATION OF LIABILITY
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, THE ORGANIZER, ITS AFFILIATES, AND THEIR RESPECTIVE OFFICERS, DIRECTORS, EMPLOYEES, CONTRACTORS, VOLUNTEERS, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR EXEMPLARY DAMAGES, NOR FOR LOST PROFITS, REVENUES, DATA, OR GOODWILL, ARISING OUT OF OR RELATED TO THESE TERMS OR THE EVENT, REGARDLESS OF THE THEORY OF LIABILITY. IN NO EVENT SHALL THE ORGANIZER'S TOTAL AGGREGATE LIABILITY EXCEED ONE HUNDRED U.S. DOLLARS (USD $100).
10. GENERAL PROVISIONS
10.1 Force Majeure The Organizer shall not be liable for any failure or delay in performing its obligations under these Terms to the extent caused by circumstances beyond its reasonable control, including but not limited to: natural disasters, epidemics, pandemics, public health emergencies, government actions or orders, labor disputes, utility failures, cyberattacks, civil unrest, terrorism, war, or any similar event.
10.2 Waiver Our failure to enforce any provision of these Terms shall not constitute a waiver of that provision or our right to enforce it in the future. All waivers must be in writing to be effective.
10.3 Severability If any provision of these Terms is held invalid or unenforceable, the remaining provisions shall continue in full force and effect. The invalid provision shall be modified to the minimum extent necessary to make it enforceable, or severed if modification is not possible.
10.4 Assignment You may not assign or transfer these Terms or any rights hereunder without our prior written consent. We may freely assign these Terms to any affiliate or successor. Any attempted assignment in violation of this section is void. These Terms bind and inure to the benefit of the parties and their permitted successors and assigns. No third-party beneficiary rights are created by these Terms.
10.5 Governing Law These Terms shall be governed by and construed in accordance with the laws of the State of California, without regard to its conflict-of-laws principles. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the state and federal courts located in Los Angeles County, California.
10.6 Modifications We may update these Terms at any time by posting a revised version on our website. The updated Terms become effective upon posting. Continued registration for or attendance at an Event after changes are posted constitutes your acceptance of the revised Terms. We encourage you to review these Terms periodically.
10.7 Entire Agreement These Terms, together with the AI on the Lot Privacy Policy and Code of Conduct, constitute the entire agreement between you and the Organizer regarding the subject matter herein and supersede all prior or contemporaneous agreements, representations, or communications, whether written or oral.

AI ON THE LOT — REFERRAL REBATE PROGRAM TERMS & CONDITIONS
These Referral Rebate Program Terms ("Referral Terms") govern participation in the AI on the Lot Referral Rebate Program ("Program") and are incorporated by reference into the AI on the Lot Event Terms & Conditions. Capitalized terms not defined herein have the meanings given in the Event Terms & Conditions.
1. PROGRAM OVERVIEW
AI on the Lot LLC ("Organizer") offers registered attendees the opportunity to earn a rebate toward their own registration fee by referring new ticket purchasers. Referred attendees who purchase through a referral link receive a 10% discount off their ticket price at checkout. This Program is a rebate mechanism only — it does not constitute a commission arrangement, affiliate program, or income-generating opportunity. Rebates are capped at 100% of the referring attendee's own registration fee paid and cannot exceed that amount under any circumstances.
2. ELIGIBILITY
To participate in the Program, you must:
- Hold a valid, paid or complimentary registration for the applicable Event at the time of referral and at the time of payout; and
- Be in full compliance with the Event Terms & Conditions and these Referral Terms; and
- Be a natural person (entities, bots, and automated systems are not eligible).
The following categories of registrants are eligible to participate in the Program and may share their referral link, but will not earn any rebate credits: attendees who registered with a complimentary or $0 ticket, speaker registrants, and sponsor registrants. As rebates are calculated as a percentage of your own registration fee paid, a $0 registration fee results in $0 rebate eligibility. Referred attendees who purchase via such a link will still receive the 10% referred attendee discount.
3. REFERRAL LINKS
Upon completing a qualifying registration, eligible attendees will receive a unique personal referral link ("Referral Link") via email. Your Referral Link is personal to you and may not be sold, transferred, or publicly posted in a manner that constitutes spam or violates any platform's terms of service. Each Referral Link is associated with a dynamically generated personalized preview image for social sharing purposes; this image is provided as a convenience and the Organizer makes no guarantee of its display across all platforms or devices.
4. HOW REBATES ARE EARNED
- For each new attendee who completes a paid ticket purchase via your Referral Link, you will earn a rebate equal to 10% of your own registration fee paid.
- Rebates accrue per qualifying referral, up to a maximum of 10 qualifying referrals and a maximum total rebate of 100% of your own registration fee paid.
- Rebates are calculated based on your own ticket price paid (net of any discounts applied at the time of your purchase), not the referred attendee's ticket price.
- The referred attendee's 10% checkout discount (see Section 5) does not affect your rebate calculation.
- Attendees who registered with a complimentary or $0 ticket, speaker registrants, and sponsor registrants may share their Referral Link but will not earn any rebate credits, as described in Section 2.
5. REFERRED ATTENDEE DISCOUNT
- A new attendee who visits your Referral Link will have a 10% discount automatically applied to their ticket price at checkout.
- The discount applies to the referred attendee's ticket price only and confers no benefit to the referrer beyond the rebate described in Section 4.
- The referred attendee discount is non-stackable and may not be combined with any other promotional code, discount, or offer.
- The discount is applied at the time of purchase only. It is not preserved if the referred attendee navigates away from the checkout flow and returns without using the Referral Link.
- If a referred attendee's purchase is subsequently refunded, cancelled, or charged back, the discount is effectively reversed as part of that refund and the corresponding referral credit is voided per Section 8.
6. QUALIFYING REFERRALS
A referral is "qualifying" only if all of the following conditions are met:
- The referred attendee is a new registrant who has not previously purchased a ticket to the same Event;
- The referred attendee completes full payment at checkout via your Referral Link;
- The referred attendee's ticket is not subsequently refunded, cancelled, or charged back prior to the rebate payout date;
- The referral is not the result of fraud, manipulation, self-referral, or any violation of these Referral Terms; and
- Your own registration remains valid, paid, and non-refunded as of the payout date.
7. PROHIBITED CONDUCT
The following are strictly prohibited and will result in immediate disqualification and forfeiture of all accrued rebates:
- Self-referral: Using your own Referral Link on your own purchase or on a purchase made on your behalf;
- Coordinated abuse: Purchasing tickets solely for the purpose of generating referral credits, or coordinating with others to do so;
- Misrepresentation: Presenting the Program as a paid employment or compensation arrangement;
- Disclosure violations: Failing to disclose your financial interest when promoting your Referral Link on social media or other public channels (see Section 10);
- Unauthorized transfers: Selling, auctioning, or transferring your Referral Link or associated code to a third party.
8. REBATE PAYOUT
Timing: Qualifying rebates will be disbursed approximately 90 days following the conclusion of the Event. This hold period exists to allow for resolution of chargebacks, refund requests, and disputes.
Method: Rebates are issued as a refund to the original payment method used at the time of your Event registration. No separate payment information is required. If your original payment method is no longer active, it is your responsibility to notify us at team@aionthelot.com prior to the payout date. The Organizer is not responsible for failed disbursements due to expired or closed payment methods.
Minimum threshold: Rebates will only be disbursed if the total accrued rebate amount is greater than $0.
No cash equivalent: Rebates have no cash value beyond the amount of your own registration fee and cannot be transferred, gifted, or applied to future events.
9. FORFEITURE OF REBATES
Your accrued rebates will be automatically voided and forfeited, with no compensation owed, if:
- Your own ticket registration is refunded, cancelled, or charged back for any reason prior to the payout date;
- A referred attendee's ticket is refunded, cancelled, or charged back (the rebate credit for that specific referral is voided; all other accrued credits remain unaffected);
- You are found to have violated these Referral Terms or the Event Terms & Conditions;
- The Event is cancelled by the Organizer (in which case the standard cancellation and refund provisions of the Event Terms & Conditions apply); or
- You fail to maintain a valid original payment method and do not notify us prior to the payout date.
10. FTC DISCLOSURE REQUIREMENT
If you share your Referral Link publicly — including on social media, blogs, newsletters, podcasts, or any other public channel — you are required by the U.S. Federal Trade Commission's Endorsement Guidelines to clearly and conspicuously disclose that you may receive a financial benefit. Acceptable disclosure language includes: "I may receive a rebate on my ticket if you use my link." The Organizer is not responsible for your compliance with applicable disclosure obligations, and failure to comply is solely your responsibility.
11. PROGRAM MODIFICATIONS & TERMINATION
The Organizer reserves the right to modify, suspend, or terminate the Program at any time, with or without notice, including changes to rebate percentages, referred attendee discounts, payout timing, eligibility requirements, or payout methods. Any modifications will apply prospectively. Referrals already confirmed as qualifying prior to a modification will be honored under the terms in effect at the time of the referral.
12. GENERAL PROVISIONS
These Referral Terms are governed by the laws of the State of California and are subject to the dispute resolution, limitation of liability, and general provisions set forth in the Event Terms & Conditions, all of which are incorporated herein by reference. In the event of any conflict between these Referral Terms and the Event Terms & Conditions, these Referral Terms shall control with respect to the Program.
